HR Coordinator

Reports To: VP, Human Resources
Location: Company Headquarters in Stamford, CT
Overview: Bring your unique abilities to our team as a Human Resources Coordinator. In this role, you will provide support in the administration and the coordination of all responsibilities across the Human Resources team. These can include everything from ensuring data is accurately captured systemically and electronically, assisting in generalist responsibilities, processing benefits paperwork, assessing probabilities, coordinating schedules, proposing solutions to challenges through research and creativity, conducting exit interviews, screening candidates and more.
Functions & Responsibilities:Administrative/Clerical support to include:
· Conduct department filing, copying and assembling
· Maintain records such as hires, promotions, transfers, performance reviews, terminations, training, and employee statistics for government reporting and for company records
· Assist in creation/maintenance of employee files (new hires and current employees) and databases
· Assist in creation of any materials needed for presentations and/or training
· Run reports as needed
Support HR Generalist function including but not limited to:
· Respond to inquiries regarding policies, procedures, and programs
· Assist in administering policies relating to all phases of human resources activity
· Help to maintain knowledge of legal requirements and government reporting regulations affecting HR function and assist in ensuring policies, procedures, and reporting are in compliance
· Partner with generalists to gather information in employee relations issues and conduct investigations
· Assist in planning and conducting new employee orientations to foster positive attitude toward company goals and proper onboarding experience
· Coordinate training programs (state required and vineyard vines programs)
· Assist in training management across a variety of topics
· Prepare employee separation notices and related documentation, and conduct exit interviews to determine reasons behind separations
· Assist with implementation and development/establishment of HR Processes and Procedures for Corporate, Retail, and Outlet divisions
· Assist in integration of previously outsourced HR vendor to an in-house model through creating new forms, policies, and procedures
Support and participate in benefits and HRIS functions including but not limited to:
· Enter data accurately and timely within HRIS and related systems and completing audits of results
· Track and process monetary contributions, tuition reimbursement requests and referrals to ensure timely payouts
· Prepare and maintain complex benefits mailings and correspondence
· Assist in solving team member inquiries
· Assist in preparation of all benefit enrollment materials
· Coordinate company-wide wellness initiatives with Payroll and Benefits Specialist which can include: anniversary luncheons, summer picnic, holiday gathering, flu shots, annual wellness fair, blood drives and other wellness/engagement events
· Assist benefits programs such as life, health, dental and disability insurances, vacation, sick leave, leave of absence, and employee assistance
· Assist in execution of daily payroll changes on payroll status change forms for over 1100 employees nationwide
Support and participate in recruiting functions including but not limited to:
· Schedule phone screens, on site interviews and room reservations
· Post new requisitions
· Assist in the management of candidate correspondence through phone, email communication and the Applicant Tracking System
· Work with the Recruiter to coordinate and schedule campus recruiting events and career fairs
· Enter and monitor candidate background checks and employment verifications
· Coordinate Team Member Referrals program to include receipt and correspondence to team members
· Assist with all aspects of the new hire process: new hire paperwork (inclusive of offer letter creation, job description creation, background and reference checks, I9 process and benefits paperwork)
· Assist recruiter in screening process by reviewing resumes and cover letters and conducting phone interviews
· Ad hoc projects and responsibilities as needed
Requirements:
· Human Resource Generalist or Internship experience is a plus but not necessary
· College degree in HR, I/O Psych or related field required
· Problem solving capabilities
· Ability to prioritize
· Ability to navigate difficult personalities and situations
· Ability to be flexible and work in a continually changing and fast-paced environment
· Ability to be objective and balance the best interests of the company and the individual
· Familiarity of HRIS or ATS systems a plus
· An interest in both retail and HR
· A passion for the vineyard vines brand and lifestyle
· Strong communication skills (both verbal and written)
· Flexibility and open-mindedness
· Competent in Excel and PowerPoint (advanced functions such as Pivot Tables and VLook Ups a plus)
· Ability to handle sensitive and confidential company materials
